Cancellation Policy

1. Purpose
This Cancellation Policy explains how cancellations, no-shows, and modifications are handled at Thabeng Hotel and Restaurant. It ensures fairness for both the guest and the hotel, in line with International hospitality standards and commercial practices.
2. Standard Cancellation Rules
2.1 Free Cancellation Window (for hotel room bookings)
· Guests may cancel their reservation up to 48 hours before the scheduled check-in hour at no cost.
· A full refund of any deposit or prepayment will be issued for cancellations made within this period.
2.2 Cancellations made less than 48 hours before check-in will incur a fee equal to the first night’s room rate.
3. Restaurant Bookings & Reservations
· Cancellation Window: Guests may cancel their reservation up to 48 hours before the scheduled reservation hour.
· Refunds: Deposits are non-refundable for restaurant reservations, if a guest has made a prepayment for the reservation, a refund of the payment made by the guest less M500 deposit fee will be issued for cancellations made within this cancellation period.
· Late Cancellations: Cancellations made less than 48 hours before check-in will incur a cancellation fee equal to 80% of total booking sum.
4. No-Show Policy
A “no-show” is when a guest does not arrive on the check-in date and hour without notifying the hotel.
· No-shows will be charged 100% of the first night’s stay.
· The remainder of the booking may be cancelled automatically unless the guest confirms a new arrival date/hour.
5. Group Bookings
For reservations of 5 rooms or more or event-related bookings:
· A separate Group Booking Agreement will include specific cancellation timelines and fee structures.
· Deposits for group bookings may be partially or fully non-refundable.
· If group reservation request is accepted, confirmation of the reservation includes 100% payment within the stated deadline which is 48hrs and/or 72hrs.
· If the client does not confirm payment or send proof of payment within the set deadline of 72hrs, the reservation shall be void/cancelled.
6. Amendments and Date Changes
· Changes to booking dates are subject to availability and rate differences.
· Amendments made within the free cancellation window are allowed at a charge of 10% of total booking sum.
· Amendments made after the cancellation window may be treated as a late cancellation.
7. Policy Updates/Amendments
